Canada’s Anti-Spam Legislation

With Canada’s Anti-Spam Legislation coming into effect July 1, there is a need for volunteer centres and your network of organizations to obtain explicit consent from individuals in order to send out various electronic messages, whether it be newsletters, special events, or donation requests.

While some of you may be using free or paid mass email marketing services, such as Mailchimp or IndustryMailout, we know that many of you do not. Some of these email services also may not have a built in “opt-in” mechanism.

You can obtain consent by manually emailing your contacts and tracking their responses individually, but depending on how large your list is, this could be very time consuming!

Here is another option that might work for you:  we've created a sample Google form that you can use to obtain consent. The form can be sent out to your email contact list, and people can opt-in to receiving emails from you of a commercial nature in the future. The results of people providing consent will automatically be stored in an excel spreadsheet.  Directions to use the Google template:

The downloadable template for the form can be found here at Google Templates, https://docs.google.com/templates (you will need to login to a gmail account to access this template).

Search for “CASL Consent Form”. Click on “Use this template”, and the document will be saved onto your Google Drive. 

Edit the form to include information about your organization (Form -> Edit). 

Edit the confirmation page (that lets people know they can opt-out in the future) to include information about your organization (to edit confirmation page, on the form click “More actions” -> “edit confirmation”).

Once the template is edited and saved to your Google Drive, you will be able to send the link to the form to your email list (Form->Go to live form, then copy the web address). This will allow you to compose your own email to send to your email list, and allows you to preface it how you would like. 

All their responses and consenting email address from the form will be saved onto an excel spreadsheet. You can now just copy all the names and emails that are in the sheet, and that is your list of people who have consented to receiving your electronic messages.

It may not seem all that clear right now, but it should all be a little clearer once the template form is downloaded and you test it out a bit.
