Administrative Assistant
The Administrative Assistant is accountable to the Community Liaison or appointed Personnel Committee Member of the Board of Directors.
The minimum requirements for this position are:
• Exceptional organizational skills
• Familiarity with general office procedures and filing systems
• Ability to manage multiple priorities within a busy office environment
• Proficient with Microsoft Office, Excel, Publisher
• Superior people skills – phone etiquette, cordial and courteous to others
• Ability to work independently and within a team
• Must be flexible and reliable
• Must be willing to assist the organization in achieving its’ mission in whatever capacity required
• Willingness to learn and take on new challenges
Duties and Responsibilities:
• Research sources of funding
• Collate information and track ongoing reporting requirements (ie. grant reporting, program feedback, etc.)
• Work closely with the Community Liaison to organize and facilitate fundraising activities and events
• Maintain an organized filing system
• Work closely with member and partner organizations to ensure we are meeting the needs of the community
• Work within defined budgets
• Write letters, answer phone, publish and distribute newsletters
• Update website
• Keep volunteer, member, donor databases up to date
• Recruit, train and organize volunteers for fund raising activities (including bingo and casino) or other VSB programs and initiatives
• You may be required to do presentations in order to recruit volunteers
• Provide support to staff and/or volunteers to facilitate program delivery
• Other duties as required
The Administrative Assistant is responsible to assist with all special events, fundraising, research of funding sources, preparation of grant proposals and volunteer coordination. Working closely with the Community Liaison this position will identify potential sponsors and prepare and facilitate presentations and promotional material accordingly. Further, the Administrative Assistant will assist in researching and identifying potential partnerships with like-minded groups, corporations and private citizens in order to continually build awareness about and capacity within the VSB and its’ programs.
This position is based on a 35 hour work week. Office hours are 8:30am – 4:30pm Monday to Friday, however, there will be times requiring evening or weekend hours for facilitation of workshops or presentations and out of office hours at fundraising or public relations events. The VSB is a partner of Disaster Social Services and, as such, responsibilities and hours may change for the short term in the event a disaster is declared.
